Greater HR efficiency, better employee experience
A smooth start often determines how quickly new employees become productive and how professionally a company is perceived as an employer. In practice, however, onboarding is often characterized by manual steps, inconsistent processes, and a lack of transparency. This was precisely the challenge our customer faced: in an international environment with different types of employees (permanent employees, external employees, and transitional models), access rights, documentation requirements, and regulatory requirements such as visas or residence permits had to be coordinated cleanly and on time. There was no central entry point for new employees, while at the same time security and compliance requirements were increasing. With ServiceNow HR Service Delivery (HRSD), we worked together to implement a solution that standardizes onboarding, makes it largely automated and transparently controllable, without losing the necessary flexibility for special cases.
Onboarding: Standardization with high configurability
ServiceNow HRSD supports HR organizations in efficiently handling recurring HR processes while providing a modern employee experience. The combination of clear process management, role-based control, and centralized communication is particularly effective in onboarding: tasks are orchestrated in a structured manner, dependencies are taken into account, and responsibilities are assigned in a traceable manner. This ensures greater planning reliability, especially in the case of critical lead times.
Our implementation of the onboarding solution: secure, scalable, and end-to-end
We implemented the ServiceNow HRSD onboarding module, including a dedicated onboarding portal. This provides status-dependent information and tasks and prevents access to sensitive company data before the contract begins. A special feature of the project: Since new employees often do not yet exist in Active Directory before joining the company, we implemented a multi-provider SSO including automatic switching to AD-based SSO from day one.
In addition, standardized, flexibly configurable process paths were implemented for each employee type, and central steps such as security checks, IT orders, regulatory preparations, and access approvals were automated end-to-end. Today, our customer benefits from a scalable, future-proof onboarding process with significantly greater transparency, higher compliance support, and noticeable relief for HR teams. And new employees experience a secure, modern start even before their first day of work.
